DescriptionWe are currently seeking a temporary employee to cover for maternity leave for about 3 months in Bristol for a local manufacturing company. We are looking to move quickly and start interview the week of 10-17-2016

- Greets and directs visitors in a prompt, professional and friendly manner and maintains visitor log; ensures all guests are escorted and have a badge with visitor's name, the date and who they are here to visit

- Answers and directs all incoming calls in a professional and friendly manner

- Ensures each visitor has read and signed the Safety and Environmental Rules and Agreements, scan to computer and file

- Ensures each visitor is equipped with PPE if working on the shop floor (Safety glasses and safety shoes)

- Logs requests for quotes and enter quote due dates on VP-Sales Outlook calendar

- Enters time daily in time clock for non-clocking employees

- Links new jobs to time clock

- Schedules and organizes complex activities such as meetings and travel for the President

- Coordinates and maintains President's calendar

- Assists the President and Human Resources Manager with various clerical duties

- Assists Human Resources in arranging companywide activities

- Works independently and within a team on ongoing projects as assigned by the President and/or Human Resources Manager

- Supports others as required, by preparing correspondence, reports, documents and spreadsheets; manage conference room calendars; organizes in house meetings; sets up conference rooms and orders food; completes other projects as assigned

- Logs quotations in Excel

- Enters new vendor information in QuickBooks

- Tracks and processes vendor invoices and incoming material in purchasing system and enters in QuickBooks

- Collects and records W-9 information for all vendors

Working hours: 8:430 M-F



o-Run Accounts Payable checks in QuickBooks

o-Enters new jobs in time clock (service and install numbers only)

o-Completes and enters daily deposits

o-Contacts customers regarding past due invoices

o-Takes calls from vendors regarding past due accounts payable

o-Creates invoices in QuickBooks

o-Enters New Customers in QuickBooks

o-Enters new jobs in QuickBooks

o-Maintain and close out jobs on a predetermined schedule

--Be consistently at work and punctual

--Clocks in and out accurately in time clock


--Superior customer service skills

--Excellent verbal and written communication skills

--5+ years relevant work experience

--Strong knowledge of QuickBooks

--Knowledge of Epicor a plus

--Proficient in Word, Excel, and Outlook; working knowledge of PowerPoint

--Ability to work well with others in a team environment

--Ability to self start and work with minimal supervision or assistance
