Centennial Lakes is a Multi-specialty Surgery Center with three operating rooms.
Accountabilities / Responsibilities:
Greet patients and visitors to the facility. Notify facility personnel of arrival as needed.
Contact patients who are more than 15 minutes late and communicate information to Pre-Op staff.
Obtains ride information from patient.
Copy insurance card(s).
Verify patient identity, financial, demographic, and insurance information.
Reprint labels and consent/face sheets, correct PAS as needed.
Notify Insurance Verifier of insurance changes.
Confirms primary and secondary insurance order based on COB rules.
Direct patient to complete accident questionnaire or COB forms.
Directs patient to review NPPR/HIPAA Information.
Obtain patient/responsible party signatures.
Complete Medicare Secondary payer Questionnaire (MSPQ).
Accept and record patient cost share payments.
Greet and direct visitors/vendors to the correct departments.
Maintain visitor/vendor sign in.
Provide facility parking information and directions to patient’s family or ride.
Maintain clean and tidy waiting room/lobby.
Manage Lobby beverage supply and meal orders for physicians.
Verify vendor appointments and obtain signature in visitor log.
Act as a resource for facility visitors and physicians.
Answer all incoming calls to the facility. Relay information in an accurate, concise manner.
Maintain patient privacy per HIPAA regulations.
Collect copayments, coinsurance, and checks. Log onto the One-Write.
Batch out credit card machine. Reconcile sales/refunds to One-Write credit card entries.
Reconcile One-Write, sign, and forward printed and signed surgery schedules to the BOM.
Checks and cash are kept in safe until they are deposited to the bank.
Prepare charts for next day cases, ensuring medical records from the previous visit are retrieved.
Runs patient identification labels, affixes a label to each unlabeled page of the patient chart and to a patient identification bracelet.
Follow the facilities guidelines for scheduling surgeries dependent on a variety of factors including case length, anesthesia type, and block time, for example.
Enter surgery cases and blocks into the Citrix system with accuracy.
Act as a Liaison between the facility and doctors’ offices in case problems arise in scheduling.
Confirm that doctor’s orders match what is described in the system.
Prepare Self-Pay and Interpreter request sheets immediately after scheduling.
Possess basic knowledge of medical terminology.
Knowledge of insurance lines of business.
Knowledge of standard coordination of benefits methodology.
Typing or keyboarding skills.
Knowledge of office machines (e.g. computer, scanner, fax, copier, multi-line phone system with voicemail, etc.)
Knowledgeable of HIPAA guidelines, Red Flag Rules, and Medicare Conditions of Coverage.
Versatile and willing to coordinate with and participate in, when necessary, all other aspects of the Business Office.
Possess strong initiative to get daily work finished and processed.
Is courteous, understanding, and sympathetic towards patients, physicians, and others.
Maintains regular attendance.
Ability to handle confidential information.
Ability to set priorities and work independently.
Warm, friendly personality with a commitment to treat patients with compassion and respect.
Ability to interact in a positive manner and to communicate well with patients, families, co-workers, physicians, supervisor, and other facility teammates.
Ability to handle multiple tasks.
Ability to use discretion in dealing with the public.
High school diploma or equivalent; two – five years’ experience in a medical office, hospital, outpatient surgery center or related field; Computer experience, Excel, Word, Medical Billing Software and Applications; Working knowledge of Medical Terminology.
