Reporting to the Associate Registrar, the Course Catalog & Calendar Administrator is the central source of information and conduit between the Office of the Registrar and Program Areas on program and course data. This position is responsible for ensuring correct curriculum management and set-up in the PeopleSoft system, maintaining all program and course approval changes to processes and identify exceptions that impact OR staffing or create inefficiencies.

This position will support the Associate Registrar in establishing strong and effective working relationships with the Faculties and Program Areas to support the college's program architectures and resolve program and course issues.

KEY RESPONSIBILITIES:

  • Act as the first point of contact in the Office of the Registrar for curriculum (program and course) changes during the annual calendar process and throughout the academic year.

  • Responsible for the annual production and administration of the credit calendar.

  • Provide advice, knowledge, and expertise to Faculties and Program Areas regarding the process for curriculum changes, in consultation with the business processes, policies and procedures.

  • Maintain an archive of documentation in order to act as a central sources for program and course information, including approval documentation.

  • Maintain knowledge and expertise as an advance user of the People Soft Curriculum Management module.

  • Receive information on course tuition and fees, and work with Student Financials’ Functional Analyst for setup, audit and publication.

  • Liaise closely with the Timetabling Unit on program and course changes which impact scheduling.

  • Participate in project work and operational enhancements requiring curriculum management knowledge and expertise.

  • Update external interfaces (such as government databases) annually with calendar information.

QUALIFICATIONS:

  • Completion of a relevant post-secondary degree

  • Two years’ experience in a related role in a post-secondary institution

  • Experience with PeopleSoft or other student information system

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of post-secondary education system and administration

  • Well-developed communication skills and interpersonal skills (oral, written and listening).

  • Ability to plan, and effectively manage a high volume of work with high degree of accuracy and attention to detail.

  • Ability to gather and analyze academic information and make logical, defensible decisions.

  • Ability to effectively interact with program area staff to discuss academic information.

  • Ability to apply strong critical thinking and problem solving skills to assess and troubleshoot daily tasks.

  • Intermediate knowledge of Microsoft Office suite of products (Outlook, Word, Excel).

  • Accurate keyboarding skills.

SALARY: Commensurate with education and experience. This position comes with a competitive salary and includes immediate participation in our comprehensive pension and benefits plan.
