EDUCATION: Required: High school graduate or equivalent; knowledge of anatomy and physiology and medical terminology.


EXPERIENCE: Required: Appointment scheduling, medical office front desk, or patient care experience. Minimum six months experience required, one year related experience considered. *An equivalent combination of education and experience may be considered.

KNOWLEDGE, SKILLS AND ABILITIES 1. Demonstrates proficiency in computer knowledge. A. Able to type 35 wpm with minimal errors. B. At least six months experience scheduling on computer based programs or one year front office experience, however, other experience may be considered. 2. Knowledge of anatomy and physiology, and medical terminology preferred; beneficial to appropriately and accurately schedule appointments. 3. Ability to audibly, verbally and visibly communicate effectively and interact with others. 4. Ability to evaluate needs and courteously and professionally communicates with patients in diverse stages of development, i.e. adolescents, adults, and geriatrics. 5. Process ability to communicate effectively with other offices and departments. 6. Process ability to write legibly and to read and comprehend written material at an adult level. 7. Sufficiently mobile to frequently move around building to obtain order clarification and guidance or deliver patient schedules. 8. Ability to sit for long periods of time, minimum of 6 hours per day, while scheduling patient appointments. 9. Process excellent time-management skills with ability to multi-task need to schedule numerous patient appointments, telephone calls, and other patient appointment related needs. 10. Job Description

BASIC PURPOSE: The scheduler coordinates and schedules all laboratory, chemotherapy, physician follow-up, radiographic, and referral patient appointments as requested by Regional Cancer Center nurse or provider staff. Scheduler must be able to greet and interact with patients with a courteous attitude in a hectic environment, manage multiple tasks, and work well as a team.

MAJOR WORK ACTIVITIES: 1. Schedule patient appointments. A. Accurately schedules follow up, chemotherapy, and referral patient appointments ordered on the Physician Order Form (POF) and electronic medical record (EMR) scheduling system as patients leave the office. B. Accurately schedule all chemotherapy appointments and coordinate appointment availability with Chemo scheduler as ordered on the POF or EMR. C. Accurately schedule all laboratory appointments as ordered on the POF or EMR. D. Coordinate appointments with provider, nurse, and patient to meet physician treatment and plan of care objectives and prevent duplication. Monitor and schedule recurring appointments, such as laboratory or injections ordered every two weeks. E. Accurately schedule POF’s given the scheduler throughout the day. Contact the patient via telephone or mail as required per department policy. F. Accurately schedule appointment request with other offices providing care to our patients, such as radiology facilities and other physician offices. G. Forward completed POF’s to Managed Care Department at end of each day for insurance verification and authorizations. H. Take and return numerous telephone calls through out the day within required time limits.

  1. Reschedule patient appointments. A. Accurately reschedule patient appointments cancelled due to physician out-of-office request. Inform Research Nurse if patient is currently on protocol. Inform physician/nurse if patient is rescheduling chemotherapy appointment. B. Accurately reschedule patient appointments when requested by patient. Inform Research Nurse if patient is currently on protocol. Inform physician/nurse if patient is rescheduling chemotherapy appointment. C. Accurately re-schedule missed appointments or appointments requiring reschedule from POF’s, EMR, nurse, or provider request following established policies. D. Accurately re-schedule patients requesting reschedule when prompted by automated telephone calling system. E. Document all rescheduled appointments to include date, time, and method used to communicate appointment reschedule in EMR.

  2. Refer new patients or new hospital patients to New Patient Coordinator for scheduling.

  3. Print various schedules as required by center staff. A. Print patient schedules as required to ensure patients are aware of all appointments.

  4. Practice customer service skills. A. Demonstrates courtesy, dignity, professionalism, and sincerity when communicating with patients. Review appointments to ensure understanding when needed. B. Demonstrate effective communication when referring patients to other offices. C. Demonstrate effective communication with co-workers, nursing, and physicians. D. Practice standards of behavior in accordance with Cone Health and RCC policies.

  5. Demonstrates flexibility when meeting patient care needs. A. Assist in scheduling POF’s, returning telephone calls, and re-scheduling appointments in absence of other schedulers. B. Assist other schedulers in completing urgent scheduling needs. Offers assistance to other schedulers during periods of heavy workloads. C. Assist nursing and physician staff when possible. D. Participates and orients new staff as needed. E. Participates and recognizes value as team member. F. Maintains a safe, clean, and attractive environment.

  6. Performs other duties and responsibilities as assigned incommensurate with grade and training.
