The Waste 2 Resources (W2R) program is currently looking to fill an Industrial Section Administrative Assistant (Administrative Assistant 3)position. This position will be located in our Headquarters Building (HQ) in Lacey, WA.
Ecology's Industrial Section provides multi-media regulation for Washington's heavy industries including, the pulp and paper sector, oil refineries, aluminum smelters and selected chemical producers. This position provides administrative support to the Industrial Section. The position also serves as the Public Disclosure Coordinator for the headquarters sections of the Waste 2 Resources (W2R) Program and backup for the Program Manager's Assistant.

The mission of the Waste 2 Resources program is to reduce the amount and the effects of wastes generated in Washington State. Some of the key work activities of the Industrial Section Industrial Section Administrative Assistant position are:
Administrative Support for the Industrial Section:
- Independently manages the section's correspondence.
- Manages the section manager's calendar.
- Assists with maintaining the section's SharePoint site.
- Manages the section's permittee mailing and contact lists to ensure that they are current.
- Provides backup to the receptionist for phones and mail.
- Assists with meeting planning and scheduling.
- Makes training and travel arrangements as requested by staff.
- Manages the section's equipment.
- Make copies, scan documents, organize storage areas as requested.
Public Disclosure Coordinator for Headquarters Sections of W2R:
- Serves as the Public Disclosure Coordinator for the Industrial Section and the headquarters W2R programs.
- Follows agency policy for coordinating and providing the required responses to public disclosure requests.
- Ensures compliance with applicable public disclosure laws and regulations.
Industrial Section Records Management:
- Independently manages the industrial section's central files.
Back-up to W2R Program Manager's Assistant:
- Provides back-up to Program Manager's Assistant.
Data Entry for the Industrial Section:
- Enters DMR data into WQWebDMR and uploads inspection reports into PARIS.

High school graduation or GED ANDthree (3) or more years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting or general administrative work.
Knowledge, Skills and Abilities:
- Highly organized.
- Ability to learn, understand, implement and accurately manage office processes.
- Experience using Microsoft Office products including: Word, Excel, and Outlook.
- Knowledge of office procedures and practices; business management practices, research methods and data collection; communication and correspondence practices.
Ability to work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and speech. Desired Qualifications:
Extensive experience with Microsoft Office products including SharePoint.
- Experience leading or managing office operations for a work unit of 15 or more staff.
