Essential Duties and Responsibilities

The Fixed Wing Assistant Supervisor:

  • Contributes to defining USAP aviation logistical needs and forecasts the number of flight hours required for aviation operations.

  • Works with Supervisor and with the National Science Foundation (NSF) to establish flight priorities and allocation of flight hours.

  • Participates with the Supervisor in the creation of a daily flight schedule and a weekly flight plan.

  • Conducts daily briefing with flight crews and supervises implementation of flight schedule.

  • Coordinates with the Aviation Management Department the Department of Interior Office of Aviation Services to ensure subcontractor compliance with NSF and Federal Aviation Administration rules and regulations.

  • Ensures compliance with applicable Environmental, Safety and Health, and Waste Management policies/procedures.

  • Maintains communication with pilots, field parties and/or field camps as required. This responsibility includes relaying all changes in support requirements to relevant agencies.

  • In the absence of the Supervisor, attends science and operations meetings as the subject matter expert in their respective aviation discipline for supported science groups. Insures planned support requirements have been met prior to Grantees’ arrival at McMurdo.

  • Interacts with National Science Foundation, their sub-contracting agencies, military personnel and other agency officials in a professional and tactful manner.

  • Acts as a liaison with grantees, NSF, deep field camp supervisors, NYANG, 500 AEG, Kenn Borek Air, ENEA, ANZ, AAD, BAS, ALE and ASC work centers and any other required entities to determine USAP Intra-continental aviation support requirements for cargo, passenger and fuel movement.

  • Determines the most efficient method to provide support to each of the entities listed above with available USAP aviation resources.

  • Generates reports to track and coordinate all Intra-continental aviation missions, and cargo and passenger movements for USAP aviation resources.

  • Provides statistical information regarding Intra-continental flights including planned vs. actual missions, cargo movements, and causes for flight delays, aborts or cancellations.

  • Manages fuel cache inventory documentation.

  • Manages geographic coordinates documentation.

  • Manages Fixed Wing input and collaborates with ANG RFI / Camp Status Reports

  • Participates in planning conferences and meetings as required.

  • Maintains a safe workplace program and ensures that safety is the highest priority in the workplace.

  • Performs other duties as required.


  • High School diploma or equivalent is required. BA/BS degree in a business or an air transportation related field is preferred.

  • Valid Driver license is required.

  • Four years experience in administrative or logistical support with at least two years experience in aviation logistical support or passenger and cargo movement to include documentation, expediting, and tracking is required.

  • Experience with remote logistical support is required.

  • Load Planner training recommended.

  • Must be skilled in word processing, spreadsheets and data base software, and have strong written and verbal communication skills.

  • Prior USAP logistical support experience is preferred.

  • Willingness and ability to deploy to Antarctica for extended periods is required.

  • Must successfully complete the physical and dental examinations as required by the NSF for deploying to Antarctica.

  • May be required to successfully complete a psychological examination as required by the NSF for deployment to Antarctica.

  • US citizenship is required.

  • Must be willing and able to lift and move items, parts, assemblies and equipment up to the safety regulation maximum.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors.

  • US citizenship or Permanent US Resident status is required.
