Vehicle Operations Supervisor

GENERAL DUTIES (not all inclusive):

  • Responsible for passenger transportation logistics. Responsible for hiring the shuttle department staff. Coordinates with all agencies and departments both on and off the ice to determine transportation needs. Assists station management and NSF management in determining annual vehicle allocation requests and snow road exemptions. Supervises Shuttle personnel and operations of the department for McMurdo Station. Responsible for the safe and timely operation of vehicles required for the McMurdo Station shuttle system. Creates and maintains work schedules, service schedules, van pool allocations, training schedules, and maintenance requests.

  • Responsible for hiring vehicle operators, large passenger vehicle operator seniors.

  • Creates and maintains working schedules for vehicle operators and rotation of personnel between operating all shuttle system transportation requirements; this includes, but is not limited to, vehicle trainings for both shuttle department and external departments requiring light vehicle training, taxi service, courier service, airfield shuttle service, flight passenger transportation, LDB transportation, airfield taxi service, dispatching, science support transport, recreational transportation needs, and any annual transportation added from season to season for additional tasking.

  • Responsible for monitoring and conducting training requirements for vehicle operators. Updates procedures and training requirements throughout the season.

  • Responsible for coordinating and ensuring through training for all recreational volunteer drivers. Arranges safety trainings and documentation of trainings for all internal and external trainees.

  • Coordinates with all USAP agencies, and external agencies with the aid of NSF management, regarding shuttle, taxi, and shift change requirements.

  • Coordinates all van allocation and snow road exemption requests for all agencies with both ASC and NSF station management.

  • Communicates on a daily basis with vehicle operators regarding schedules, road conditions, vehicle coordination, and community shuttle and taxi requirements.

  • Maintains good working relationship with all other departments and agencies on station, ensuring the shuttle service is accessible and usable by all departments.

  • Develops and posts Shuttle Service Schedules at runways, McMurdo town center, and Scott Base. Emails schedules to all POCs for McMurdo, both in the Denver office in advance of the season to establish transportation needs, and all updates while on Ice. Coordinates with the help desk to update intranet schedules as changes are posted as well.

  • Operate shuttle service vehicles on varying road surfaces inclement weather conditions with consideration for passenger and vehicle safety as needed. Vehicles include 10 passenger vans, passenger deltas, airport passenger shuttles a 56 passenger Terra bus, and Cat 730 tractor trailer vehicles.

  • Assists in the acquisition of new vehicles while in the Denver office by providing feedback regarding use and effectiveness of suggested vehicles.

  • Monitors shuttle vehicles and vans for required preventative maintenance and schedules service for the shuttle vehicle fleet and van pool fleet with the VMF. Tracks service intervals to ensure compliance with prescribed metrics and for equal utilization across fleet.

  • Maintains required shuttle, courier, and taxi logs. Compiles usage and ridership data for weekly and monthly reports. Monitors ridership and adjusts resources accordingly.

  • Compiles all exemption logs (form OP-M-508a) and sends file to the USAP Station Manager and the Airfield Manager weekly. Assists in assessing usage of granted exemptions for future planning.

  • Responsible for compiling end of season report for the shuttle department used for future season planning reference.

  • Communicates via two-way radio in accordance with prescribed procedures.

  • Ensures all shuttles department staff comply with safe operating practices and road etiquette.

  • Coordinates with the NSF Administrator regarding Distinguished Visitor transport schedules.

  • Monitors the service provided to the McMurdo community and periodically solicits performance input from various agencies. Improves service where required in response to inquiries.

  • Evaluates and documents employees' performance throughout the season, thus creating a living reference document for mid-season and post-season employee evaluations.

  • Ensures compliance with Safety, Environment, Health, and Waste Management policies and procedures.

  • Coordinates all MCI and Medevac transportation support, whether for drills or actual events, on an as needed basis.

  • Interacts with the National Science Foundation, military, Scott Base, and other agency officials, over the telephone, via email and/or in person in a professional and tactful manner.

  • Required to lift heavy items, climb in and out of tall vehicles while working outdoors in below freezing temperatures.

  • Handles confidential matters (personnel actions, management reports, discipline, etc.) in accordance with management policy.

  • Communicates professionally, both orally and in writing, with subordinates to relay all information needed to successfully perform their duties. This includes, but is not limited to, staff meetings, performance appraisals, job requirements, division metrics, projects, Quality Standard Procedures, and safety practices.

  • Responsible for maintaining a safe workplace and ensures that safety is the highest priority in the workplace.

  • Must be able to interact with all team members in a positive and productive manner.

  • Performs other duties as required.


  • BA/BS required. Equivalent experience may be accepted in lieu of degree.

  • Valid driver's license required.

  • CDL preferred.

  • A Minimum of one year vehicle and/or equipment operating experience with at least six months of large capacity passenger vehicles and/or tractor-trailer over-the-road vehicles is required.

  • Two years leadership and/or management experience is required.

  • One year scheduling and/or logistics planning experience required.

  • Dispatching experience is preferred.

  • Excellent communication and interpersonal skills required.

  • Customer service experience is required.

  • Good multi-tasking and organizational skills are required.

  • Good computer skills, including Microsoft Office Programs are required.

  • Willingness and ability to deploy to Antarctica for extended periods is required.

  • Must be willing and able to lift and move items, parts, assemblies and equipment up to the safety regulation maximum.

  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors.

  • Must successfully complete the physical, dental and psychological (if applicable) examinations as required by the NSF for deploying to Antarctica.

  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts & safety objectives.
