Bayer Assistant Director - US PV Operations in Morristown, NJ, New Jersey

Your tasks and responsibilities

Position Purpose: The primary responsibilities of the Associate Director – US PV Operations are; • Primary liaison with Finance and Controlling to ensure timely compliance with all budget related initiatives; • Develop Service Level Agreements with Consumer Care or other Divisions as needed; • Independently manages essential operational and support functions for USPV in budget/rolling forecast planning, tracking, reporting headcount requirements, appropriation requests, capital budget planning, tracking, reporting and operational procedures; • Support outsourcing efforts including, but not limited to: a. Provide models for various options. b. Review of all financial projections. c. Review and approval of all submitted invoices. d. Monitor productivity reports and ensure compliance with contractual requirements. Update HIREP as needed. • Point of contact for IT related issues. This includes being the SME for MS Office programs (including Visio), and establishing and maintaining departmental mailboxes and Sharepoint sites. This includes ensuring that departmental emails are archived appropriately; • Serve as Project Manager for IT projects related to Training initiatives and Vendor processes; • Monitor headcount activities on a continual basis, including the status of any open positions. This includes providing a weekly dashboard and ensuring that org charts are current; • Work directly with GPV LT members on financial scenario development; • Provide individual performance metrics to be used as a tool for evaluating permanent employees; • Controls and manages various cost centers and operational budgets for VP USPV and routinely assesses, recommends, and implements process efficiencies and cost saving initiatives; • Develops and manages a business planning process to ensure a consistent, accurate and timely process for annual budgeting and forecasting. This includes the development, tracking, forecasting and reporting of annual headcount plans, expenses, projects, service contracts, capital budgets; • Manage all facility and space planning for USPV related to local strategic, operational and infrastructure objectives; • Planning, organizing and implementation of cross-functional initiatives within USPV and across GPV and across other business functions. These departments include Consumer Care, Medical Affairs, Clinical Development, Clinical Operations, Medical Writing, and GRA to name a few; • Initiating and monitoring contracts on behalf of USPV, including verifying invoices for PSPs; • Identifies areas of concern and makes recommendations to rectify, including management of potential and actual backlogs; • May be point of contact for health authority inspections and audits with regards to certain operational policies and procedures; • Manages redesign initiatives; • Identify, track and report key performance indicators (KPI) to senior leadership on a regular basis, including monitoring case volume and capacity metrics; • Track workload per individual based on role. Integrate data into capacity planning model and identify resource gaps or surpluses; • Monitor CRO activities (i. e. productivity, invoicing and compliance) and identify potential areas for improvement; • Organizes project team tasks and assures proper application of Six Sigma standards Project Management Institute standards, tools and methodologies in redesign work • Ensures coordination of end-to-end redesign activities across the enterprise which may includes communicating with key stakeholders; • Hands-on use of analytical tools and techniques to facilitate the identification of root causes of process problems, the generation of ideas, and implementation plans to affect measurable improvements to those processes; • Analyzes data to identify root causes to ensure business objectives are met; • Responsible for ensuring that all systems and procedures are in compliance with applicable FDA regulations, and provide guidance on Bayer quality standards, policies and p

Who you are

Qualifications: • Requires a Bachelor’s Degree in Business, Life Science, Public Health, Management or related field plus 5 years of experience in the pharmaceutical industry, health care field or FDA or Pharm D. or Masters Degree in Life Science, Public Health, Management or related field is preferred with a minimum of 3 years of experience in the pharmaceutical industry health-related field or FDA; • Six Sigma Green Belt preferred; • Experience implementing operational excellence initiatives in a diverse organization; • Ability to lead resource planning efforts (including demand and capacity forecasting); • Excellent oral and communication skills, including fluency in the English language; • Strong project management skills; experience as a Project Manager or Team Leader with cross departmental and/or cross divisional process improvement projects; • Excellent interpersonal, decision-making and organizational skills; • High degree of responsibility and accountability; • Strong interpersonal skills of diplomacy and tact, knowledge and respect of cultural differences; professionalism and arbitration; • Ability to work in a global environment; • Ability to influence without authority; • Strong leadership skills; • Ability to troubleshoot key operational issues and suggest the appropriate course of action or facilitate additional guidance for other functional departments; • Ability to interact with and influence all levels of management with regards to USPV operational policies and procedures.
