The Clinical Services Group (CSG), Physician Services Group (HCAPS), and Information & Technology Solutions Group (T&S) are responsible for the development and implementation of HCA’s Electronic Health Record (EHR) program. Compliance and achievement of Meaningful Use under the Health Information Technology for Economic and Clinical Health (HITECH) Act is key component within the EHR program. The Implementation Specialist I is a professional who actively participates in the implementation of EHR systems and meaningful use requirements as they relate to the hCare Program. The position requires a basic understanding and appreciation for health care operations, HITECH rules and regulations. This position also requires a basic understanding of clinical workflow and health care based information technology.

Implementation Specialists have responsibility in an assigned focus area within the EHR program or related project which may include all or part of the following responsibilities: analysis, design, build, testing, validation, and ongoing support of Electronic Health Record applications. They are accountable for obtaining and maintaining in-depth knowledge of the software functionality and acquiring knowledge of the clinical workflows to be implemented on the system. Jointly with team leads, team members, project management, assigned mentor, and with facility representatives, they design a future-state workflow and build the system to support the new workflow. They collaborate with other team members, and work across interdisciplinary workgroups, to accomplish these goals as a team. Other duties as assigned to support the EHR program.

GENERAL RESPONSIBILITIES (The essential responsibilities and accountabilities of this position).

Application Focused Implementation Specialist:

  • Obtaining and maintaining EHR training/certification in assigned application module.

  • Communicating project status with each other, with department representatives, and with higher levels; provide formal status reporting on a periodic basis to supervisory staff as requested.

  • Participating in application analysis, design, build, and validation sessions within assigned area (may include advanced design and workflow re-design)

  • Participating in other key project activities and meetings as assigned.

  • Coordinating and facilitating meetings as assigned; recording meeting minutes as assigned.

  • Designing and implementing future-state clinical workflows by interacting with clinical department representatives to analyze needs and translate these into system design.

  • Designing, building, and validating the application to conform to desired clinical workflows.

  • Populating master tables and system files in accordance with established guidelines; following standards for naming and numbering conventions and security classifications.

  • Testing in a structured manner and documenting testing results.

  • Following established guidelines for system change control.

  • Tracking, updating, and resolving issues.

  • Collaborating with the Education Team in the design and development of role-based training programs to support the workflows to be implemented.

  • Training end-users on proper use of the application.

  • Supporting end-users onsite during go-live events.

  • Maintaining system documentation to enable ongoing support of the system.

  • Implementing approved changes based on customer-designated priorities.

  • Troubleshooting problems identified by team members and end-users.

  • Reviewing and testing new builds and releases prior to implementing in the production environment.

  • Identifying potential system enhancement needs.

  • Providing demonstrations of system functionality as necessary.

    Clinical Workflow Focused Implementation Specialist:

  • Analyzes current-state workflows to understand requirements.

  • In collaboration with other team members, and under the general direction of the Project Manager, Team lead, and/or mentor designs future-state workflows consistent with clinical best practices and system functionality.

  • Documents future-state workflows as a project deliverable, to support the system build and training program development functions.

  • Cross-coordinates the design of future-state workflows with other interdisciplinary teams, both clinical and technical.

  • Identifies, documents, and tracks issues pertaining to workflows.

  • Identifies revisions needed to existing Policies & Procedures, and initiates revision process with appropriate organizational departments.

  • Participates in system build, testing, and validation activities as assigned.

    Application Reporting Focused Implementation Specialist:

  • Identifies and documents clinical department reporting requirements.

  • Participates in the design of report formats in collaboration with clinical department users and Clinical Reporting Team members.

  • Cross-coordinates reporting needs with other interdisciplinary workgroups.

  • Cross-coordinates the design of data collection tools with appropriate clinical content coordinators to ensure that the data needed to populate reports is being collected within the system.

  • Identifies, documents, and tracks report-related issues through completion.

  • Coordinates the development of reports with Reporting Team.

  • Develops testing strategies for reports testing.

  • Participates in report testing, and supports clinical department in report testing process. Application Testing Implementation Specialist:

  • Identifies testing requirements for assigned application module.

  • Adjusts Testing Toolkit test scripts and scenarios to adequately test expected functionality.

  • Collaborates with Testing Manager, and all team members to plan testing activities.

  • Updates the Testing documentation to reflect testing results.

  • Identifies, documents, and tracks testing-related issues through completion.

  • Participates in various testing cycles (functional, unit, integrated, parallel, end-to-end, regression testing and user acceptance testing)
