The Facility Coordinator provides administrative support to the FacilityManagement team. Responsibilities include communicating with the team(facility mangers, sourcing, accounting, etc.), buildingoccupants, service providers, and landlords. This includes providingguidance as the Corrigo Subject Matter Expert (SME) and maintainingoperations that support the team. Operating in a virtual environment, theFacility Coordinator manages multiple tasks that allow the facility managersto focus on day-to-day operations while contributing to the One Team approach. Facility Operations / Customer Service* Assist Facility Management Team with tactical planning for the team s goalsand objectives.* Assist with ensuring appropriate and timely services are being delivered* Assist with the coordination and scheduling of maintenance activities asneeded; monitor service provider performance and client satisfaction* Key interface between Facility Management Team, service providers,building landlords, sourcing, accounting and client s site operationsteams (BioMeds / Clinical Managers)* Subject Matter Expert for Corrigo including creating, monitoring andclosing work orders on behalf of the facility management team as well asproviding support and assistance to service providers as necessary* Acts as a Point of Contact (POC) for service issue escalation andresolution. Actively partner with the Fresenius Kidney Care IFM Service Line(facilities call center) as part of the escalation process* Act collaboratively to communicate and solve problems with a focus onprofessionalism and customer service* Ensure timely follow up / follow thru with customers* Coordination with sourcing to set up new vendor contracts* Assist with monitoring expiring COIs and facilitating updates as necessary* Administers and monitors work orders* Participate in / assist with special projects as neededFinancial Management* Monitor and analyze work committed through Corrigo* Assist with obtaining, routing and tracking quotes and messages throughCorrigo in order to ensure seamless end-to-end workflow while keepingconsistent and open communication with the facility management team Financial Management (cont d)* Assist with budgeting, analysis / variances, operational reporting andpurchasing as necessary* Assist with researching and following up on invoice payments anddiscrepancies* Collaborate with sourcing and the facility management team to ensureappropriate and valid service providers are in Corrigo Service Provider Management* Communicate with service providers as needed to escalate requests andprovide Corrigo support and invoice payment assistance* Interact with landlords or 3rd party service providers as needed to ensureintegration of work orders* Ensure Service Provider SLA adherence (i.e. monitor, analyze, measureand report Service Providers work order performance )* Assist with continuous improvement of operational results and ongoing clientsatisfaction* Minimum of two years industry experience required in a corporate environmentor as a third party service provider* Superior customer service skills and orientation* Ability to maintain professionalism at all times under stressful situations* Ability to plan and manage work under time constraints* Ability to multitask and work without direct supervision* Bachelor s degree preferred* Good organizational and interpersonal skills with a strong customer focus* Proficient in MS Office Suite especially MS Excel.* Possess strong written, verbal and people skills* Demonstrated intermediate to advanced written communication skills(spelling, grammar and punctuation) and verbal communication skills* Able to work independently with minimal supervision* Prioritize and manage the completion of projects in an efficient and timelymanner* Ability to quickly learn how to use any company required software This is a virtual role and preferred candidate will reside in the PacificTime Zone JLL IS AN EQUAL OPPORTUNITY EMPLOYERJLL
